Overview

The Live Session combines a Daily.co-powered video call and a collaborative Excalidraw whiteboard in a single split-screen view. Both are scoped to a specific cohort — each cohort has its own session and its own persistent Board.

Setting up a session

To enable Live Sessions for a cohort, a Meeting URL must be configured. This is a Daily.co room URL set by your institution admin on the cohort’s settings page. If no Meeting URL is configured, participants will see a message saying no session is available. Contact your admin to have one added.

Starting a session

1. Navigate to your cohort from the Facilitator Dashboard
2. Click Live Session in the cohort navigation
3. Click Enter Session to activate your camera and microphone
4. Participants join using the same button from their cohort view

Once you’re in, the video call fills the screen. Use the Whiteboard toggle in the top bar to open the Board alongside the video (split-screen: video left, board right).

Transcription control

As a facilitator, you have control over session transcription. The transcription controls appear inside the video call interface. You can start and stop transcription for the session — participants are notified when transcription is active.

The collaborative Board

The Board is a shared Excalidraw canvas. Every person in the cohort — participants and facilitators — sees the same board in real time, with live cursors showing each person’s name and assigned colour.

Board persistence

The Board is automatically saved per cohort every 10 seconds while the session is active, and immediately when the last person disconnects. There is no manual save step. The Board persists between sessions — use it to:

• Leave frameworks or questions for participants to engage with before a session
• Keep a running record of what the cohort has built together
• Annotate themes you’ve noticed across the cohort

Colours

Each user is assigned a distinct cursor colour based on their account. Colours are consistent — a participant will always appear in the same colour across sessions, making it easy to see who contributed what.

During the session

Leaving the video does not affect the Board — it remains visible and editable after you exit.

Access control

Only active cohort participants and assigned facilitators can connect to a cohort’s Board and session. Unauthorised users are automatically disconnected.
